Board Relations & Operations Manager

Exempt, Full-Time
Reports to the Executive Director

Summary:

The Board Relations & Operations Manager supports the Merola Opera Program’s internal
operations, governance, and project management. This vital role serves as the primary liaison
with the Board of Directors, coordinating meetings and ensuring accurate and timely
documentation. The Manager also assists with key events, particularly the Annual Benefit Gala,
and supports the organization’s day-to-day operations and administrative needs. Additionally,
this role provides critical project management support across the organization and assists with a
range of dynamic activities including research, data management, and special initiatives. This
role is ideal for a highly organized, detail-oriented professional who thrives in a fast-paced
environment and enjoys working collaboratively with leadership and across departments to drive
operational efficiency and support the organization’s mission.

Essential Duties and Responsibilities:

Board Liaison and Governance Support (40%)

  • Collaborate closely with the Executive Director, Board President, Chair, and other
    leadership to address and fulfill Board needs and requests.leadership to address and fulfill Board needs and requests.
  • Serve as the primary point of contact for all Board requests, providing comprehensive
    administrative support for Board Officers and Committee Chairs.
  • Manage scheduling, logistics, and documentation for all Board and Committee meetings,
    including preparing and distributing reports, presentations, minutes,
    and agendas.
  • Facilitate updates to Board handbook materials and assist with the orientation and
    onboarding of new Board members.
  • Maintain accurate records for all Board documentation.

Events Support & Coordination (25%)

  • Annual Benefit Gala:
    •  Act as the project manager for the gala, supporting the gala chair, committee,
      Executive Director, and senior team in implementing event goals
    • Coordinate logistical details with the venue, caterer, and vendors.
    • Manage day-of logistics, including volunteer coordination and on-site support.
    • Prepare and coordinate event materials with designers, including invitations,
      programs, and auction catalogs.
    • Track event outcomes and metrics for reporting.
  • Other Events:
    • Provide support for all events and public performances.
    • Assist with venue setup, vendor coordination, and on-site management.
    • Coordinate post-event follow-up activities.

Administration, Operations, and Project Management (25%)

  • Project Management & Coordination:
    • Implement and manage project management systems and tools.
    • Maintain project timelines, documentation, and track progress to ensure deliverables are met.
  • Office Management & Operations:
    • Assist with office operations, including supply and equipment management, mail and shipping, onsite meetings and events, office upkeep, and liaising with building management.
    • Support financial operations by processing expense reports, invoices, and reimbursements, and ensuring timely payments.
    • Maintain office systems and organizational calendars, including tracking staff vacations, out-of-office schedules, and key dates.
    • Assist in maintaining Merola’s administrative offices, including file audits, structure management, and digitization efforts.
    • Provide general office support, including filing, mailings, and correspondence.
  • Special Projects & Administrative Support:
    • Assist the Executive Director with special projects, research, and initiatives.
    • Prepare briefing documents for the Executive Director, Board, and staff.
    • Coordinate logistics for Merola staff meetings, gatherings, and other internal or
      external events.

Development & Marketing Support (10%)

  • Collaborate with the Member Services & Engagement Manager to maintain and manage the CRM system, ensuring data integrity and effective system use across the organization, including processing gifts and maintaining donor records.
  • Assist with donor prospect research and identifying funding opportunities.
  • Support the preparation of grant applications and reports, ensuring all necessary information is gathered and deadlines are met.
  • Collaborate with the Member Services & Engagement Manager on copy and proofing of publications, website, listings, and marketing materials.
  • Support development efforts by assisting with donor communications, stewardship reports, and coordinating data for grant applications and fundraising initiatives.

Qualifications:

  • Bachelor’s degree or equivalent experience.
  • 2-3 years of experience in administrative and project management support, preferably in
    a nonprofit or arts organization.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, Salesforce or other CRM systems, Adobe Design
    Suite, and project management tools and methods.
  • Experience with website content management systems (e.g., WordPress).
  • Ability to work evenings and weekends as required for events.
  • Demonstrated ability to manage multiple priorities, adapt to changing needs, and work
    under pressure in a dynamic environment.
  • Experience with event planning, including coordination with vendors and managing
    day-of logistics.
  • Demonstrated ability to maintain confidentiality and manage sensitive information.
  • Strong interpersonal skills and ability to work effectively with a variety of stakeholders.

Salary & Benefits:

  • $70,000-$80,000/annually depending on experience. Merola offers

Summary:

The Member Services & Engagement Manager is a critical frontline representative of the Merola
Opera Program, responsible for coordinating engagement efforts with members, donors, and
the public. This role manages development and marketing operations, ensuring that Merola’s
mission and programs are effectively communicated and supported to drive revenue. Working
closely with Merola’s team, this position plays a central role in driving membership growth,
enhancing donor relations, and supporting Merola’s visibility and branding efforts. This position
is central to ensuring strong donor and member relationships, as well as driving Merola’s
visibility and growth through strategic engagement and marketing efforts.

Essential Duties and Responsibilities:

Member/Donor Relations & Development Operations (40%)

  • Process all incoming donations, including checks, online contributions, and pledges,
    ensuring accurate entry into the CRM system and timely acknowledgment of gifts.
  • Act as the primary point of contact for all current and prospective members and donors,
    responding promptly to inquiries via phone, email, and in-person interactions.
  • Provide detailed information about Merola’s programs, benefits, and giving opportunities
    to ensure clear communication and strong relationships.
  • Assist with the annual membership renewal process, including preparing and sending
    renewal appeals, processing renewals, and following up with members to ensure
    retention.
  • Ensure timely fulfillment of all membership benefits, including access to events,
    recognition in listings and publications, and other perks associated with giving levels.
  • Prepare and distribute acknowledgment letters and other communications that recognize
    donor contributions and provide updates on the impact of their gifts.
  • Track and manage donor interactions within the CRM (Salesforce), maintaining detailed
    records of all communications and activities to support ongoing engagement efforts.
  • Support institutional giving efforts and ensure adherence to award requirements and
    crediting.
  • Generate tax receipts and other official documentation for donors and funders, adhering
    to IRS guidelines and organizational policies.
  • Maintain and update donor records in the CRM, ensuring that all information is accurate,
    complete, and secure.

Marketing, Communications, & Content (40%)

  • Website Management:
    • Manage Merola’s website content, updating and maintaining the content
      management system (CMS) to ensure that all information is accurate, timely, and
      engaging.
    • Work with web designers and developers as needed to update the website’s
      design, functionality, and user experience.
    • Regularly review website analytics to assess traffic patterns, user behavior, and
      the effectiveness of online content, making recommendations for improvement.
  • Social Media Management:
    • Create, schedule, and manage posts across Merola’s social media platforms,
      including Facebook, Instagram, Threads, and LinkedIn.
    • Respond to social media inquiries and monitor engagement.
    • Assist in developing photo and video content to enhance social media presence
      and engagement.
  • Publications & Design Support:
    • Assist staff with in-house design and publication needs using Adobe Design
      Suite, ensuring all materials meet Merola’s branding and quality standards.
    • Coordinate and create print and digital materials for Merola activities and events,
      including newsletters, brochures, and event promotions.
    • Collaborate with designers, PR representatives, and other stakeholders to ensure
      that all marketing communications align with Merola’s branding and messaging.
  • Email Marketing & List Management:
    • Oversee the creation and distribution of email marketing campaigns using
      platforms like MailChimp, ensuring that messages are targeted, engaging, and
      effective.
    • Manage email lists, including segmenting audiences based on interests and
      engagement levels, to personalize communications and improve open and
      click-through rates.
    • Coordinate with contracted box office to ensure that ticket sales data is
      accurately recorded in the CRM and integrated with email marketing efforts.

Reporting & Analysis (20%)

  • Generate regular reports on fundraising activities, including donation totals, donor
    retention rates, and campaign performance, providing insights to guide strategy.
  • Analyze giving trends and donor behaviors to identify opportunities for growth and areas
    where additional stewardship may be needed.
  • Track and report on key performance indicators (KPIs) including social media
    engagement, website traffic, and email marketing metrics.
  • Use data analysis to assess the effectiveness of marketing strategies and recommend
    adjustments to improve reach and engagement.
  • Conduct benchmarking studies to compare Merola’s marketing and fundraising efforts
    against industry standards and peer organizations.
  • Develop custom reports as requested providing detailed analysis of specific initiatives or
    trends.
  • Present findings in clear, actionable formats, using charts, graphs, and other visual aids
    to support decision-making and strategic planning.

Qualifications:

  • Bachelor’s degree in music, arts administration, marketing, communications,
    nonprofit management, or a related field, or equivalent experience.
  • 3-5 years of experience in membership management, marketing, communications, or
    a similar role, preferably within a nonprofit or arts organization.
  • Exceptional written and verbal communication skills, with the ability to craft
    compelling messages and build relationships with a wide range of stakeholders.
  • Proven track record in managing digital marketing campaigns, content creation, and
    donor relations, with a strong understanding of nonprofit fundraising principles.
  • Proficiency in CRM systems, data management, Adobe Design Suite, and marketing
    platforms like MailChimp, as well as standard office software (e.g., Microsoft Office,
    Google Workspace).
  • Strong ability to analyze data, identify trends, and make informed recommendations
    to improve marketing and fundraising outcomes.
  • Excellent ability to manage multiple tasks, prioritize effectively, and meet deadlines in
    a fast-paced environment.
  • Ability to work both independently and collaboratively, with a proactive approach to
    problem-solving and a commitment to organizational success.
  • Willingness to work evenings and weekends as required for events and campaigns.
